Code of Conduct

The Prime Circle Club is committed to providing a welcoming, respectful, and enjoyable environment for all members and guests. To ensure a positive experience for everyone, we ask that all individuals adhere to the following Code of Conduct.

Respect and Courtesy

Treat everyone with respect

All members, guests, and staff should be treated with courtesy and respect at all times. Discriminatory, harassing, or abusive behavior will not be tolerated.

Consideration for others

Be mindful of others' enjoyment and comfort. Avoid disruptive behavior and maintain a peaceful atmosphere.

Dignity for elders and care for juniors

Elders should be treated with dignity and respect, while juniors should be cared for appropriately.

Polite and welcoming

Greet fellow members and staff with a polite smile and salutation. A friendly demeanour enhances the club atmosphere.

Resolve disagreements calmly

If a disagreement arises, address it calmly and respectfully. Escalate to staff or management if needed.

Honour club traditions

Respect the club's heritage, traditions, and values. Uphold the standards that define PCC.

Constructive feedback

Share feedback or concerns in a constructive manner. Avoid gossip or negative talk that harms the community.

Appreciate staff and services

Acknowledge the efforts of club staff. A simple thank you goes a long way in building a positive environment.

Inclusive behaviour

Include and welcome new members and guests. Help everyone feel they belong at the club.

Facility Usage

Proper use of facilities

Use all club facilities and equipment as intended. Handle club property with care to avoid damage.

Cleanliness

Maintain cleanliness and hygiene in all areas. Dispose of trash properly and leave spaces as you found them.

Dress code — Dining and meetings

Appropriate attire such as suits with closed collars or shalwar kameez paired with an appropriate waistcoat.

Dress code — Sports areas

Entire sports outfits or tracksuits for athletic pursuits. No formal wear on courts or in the gym.

Footwear

Appropriate footwear is mandatory in conference rooms, meeting rooms, and dining halls. Joggers are appropriate for jogging tracks and sports areas.

Respect designated areas

Use areas only for their intended purpose. Do not enter restricted or staff-only zones without permission.

Booking and timings

Respect booking slots and facility timings. Vacate when your time is over so others can use the space.

Care for equipment

Do not misuse or damage club equipment. Report faulty equipment to staff. Return borrowed items on time.

Access and keys

Do not share access cards or keys with unauthorised persons. Follow lock-up and access procedures where applicable.

Sportsmanship and Fair Play

Fair play

Engage in all sports and recreational activities with fairness and integrity. Respect the rules and spirit of the game.

Safety first

Prioritise safety for yourself and others. Report any unsafe conditions or equipment to the staff immediately.

Respect opponents

Respect opponents, partners, and officials. Win or lose with grace and dignity.

Accept decisions

Accept referees' or officials' decisions. Dispute through proper channels, not on the field or court.

Shake hands

Acknowledge your opponents before and after play. Good sportsmanship builds a stronger community.

No cheating

Do not cheat, manipulate rules, or gain unfair advantage. Honesty is non-negotiable.

Care for playing surfaces

Do not damage courts, greens, or equipment. Follow weather and maintenance guidelines.

Punctuality

Arrive on time for matches and bookings. Late arrival may result in forfeit or loss of slot.

Encourage others

Encourage fellow members, especially juniors and newcomers. Positive support improves the sporting culture.

Membership and Guest Policies

Membership rights

Members must carry their membership cards and present them upon request. Membership privileges are non-transferable.

Guest policies

Members are responsible for the conduct of their guests. Ensure that guests follow the club's rules and guidelines.

Register guests

Register guests at the front desk or as per club procedure. Do not bring unregistered visitors into restricted areas.

Valid identification

Guests may be required to show valid ID. Members must accompany guests in areas where required.

Guest limits

Respect limits on the number of guests per visit or per facility as stated in club policy.

No transfer of access

Do not lend your membership card, key, or access credentials to anyone else.

Know the rules

Familiarise yourself and your guests with the Code of Conduct and facility-specific rules.

Renew on time

Renew membership and subscriptions on time. Lapsed membership may restrict access.

Report misuse

Report any suspected misuse of membership or guest access to the club office.

Clubbing and Social Etiquette

Polite interaction

A gentle melody, a polite smile, and a salutation to everyone enhance the personalities of club members.

Mobile phone etiquette

Cell phones should be turned off or on silent in the dining area and during events to keep others undisturbed.

First come, first served

This rule will be applied everywhere to ensure fairness. Do not reserve seats or facilities for others beyond policy.

Table manners

Observe good table manners in dining areas. Do not talk loudly or use phones at the table.

Noise levels

Keep noise levels reasonable in shared spaces. Respect quiet zones and others' need for peace.

Responsible consumption

If consuming alcohol, do so responsibly. Intoxication and disruptive behaviour are not acceptable.

Respectful conversation

Avoid topics that may offend or cause discomfort. Keep discussions respectful and inclusive.

Introduce yourself

When joining a table or group, introduce yourself politely. Make new members and guests feel welcome.

RSVP and attendance

RSVP to events when required. If you cannot attend after confirming, inform the club in good time.

Smoking and Substance Use

Smoking prohibited in dining hall

Smoking is prohibited in the dining hall and other designated no-smoking areas.

Responsible consumption

Consume alcohol responsibly. Intoxication and disruptive behaviour will not be tolerated.

Prohibited substances

The use of illegal substances is strictly prohibited on club premises. Violations will result in serious action.

Designated smoking areas

Smoke only in designated smoking areas. Do not leave cigarette butts or ash outside ashtrays.

No minors

Do not serve or allow alcohol consumption by minors. Comply with all applicable laws.

No pressure

Do not pressure others to drink or smoke. Respect everyone's personal choices.

Designated drivers

If you drink, arrange for a designated driver or safe transport. The club's reputation and your safety matter.

No illicit drugs

Possession or use of illicit drugs on club premises is grounds for immediate termination of membership.

Report concerns

If you see someone in distress due to substance use, report to staff. The club can offer discreet assistance.

Swimming Pool Use

Appropriate attire

The swimming pool must only be used in appropriate swimwear. No street clothes or inappropriate attire in the pool.

Hygiene — shower before and after

A proper bath or shower before and after swimming is required. This keeps the pool clean and safe for everyone.

No oils or lotions

Do not apply oils, heavy lotions, or non-swim sunscreen before entering the pool. They affect water quality.

Cap and hygiene

Use a swim cap if required by club policy. Do not enter the pool if you are unwell or have open wounds.

Supervise children

Children must be supervised by an adult at all times. Follow the club's age and supervision rules.

No running or diving

No running on the pool deck. Diving only where explicitly permitted and safe. Follow lifeguard instructions.

Lane etiquette

In lap lanes, swim in the correct direction and allow faster swimmers to pass. Share the lane courteously.

Respect others' space

Do not splash or disturb other swimmers unnecessarily. Keep noise levels low in and around the pool.

Report hazards

Report slippery surfaces, broken tiles, or any hazard to pool staff immediately.

Communication and Feedback

Open communication

Communicate openly and respectfully with staff and fellow members. Constructive feedback is welcomed and appreciated.

Complaint resolution

Report any issues or concerns to the club management for prompt resolution. Use official channels.

Contact the office

For urgent matters, contact the club office during working hours. Do not rely on informal channels for official issues.

Notice boards and circulars

Read notice boards and club circulars. Important updates on timings, events, and policies are posted there.

Written feedback

Submit written feedback or suggestions through the proper channel. This helps the management respond effectively.

Resolve face-to-face when possible

For interpersonal issues, try to resolve face-to-face with the person concerned before escalating.

Representation

If you represent a group or committee, communicate clearly and accurately. Do not misrepresent the club or others.

No abusive language

Do not use abusive, threatening, or defamatory language in any communication with staff or members.

Follow up

If you have raised an issue, follow up through the correct channel. Allow reasonable time for a response.

Compliance and Consequences

Follow club rules

Adhere to all club rules, policies, and procedures. Ignorance of the rules is not an excuse for non-compliance.

Consequences for violations

Violations of the Code of Conduct may result in disciplinary action, including suspension or termination of membership.

Know the Code

Read and understand the full Code of Conduct. Ask the office for clarification if anything is unclear.

Serious breaches

Serious breaches, including violence, theft, or substance abuse on premises, may lead to immediate termination and legal action.

Appeal process

Members have the right to appeal against disciplinary decisions through the process defined in club bylaws.

Cooperation with enquiries

Cooperate with any internal enquiry or investigation. Providing false information is a further breach.

No retaliation

Do not retaliate against anyone who has reported a violation or participated in an enquiry.

Policy updates

The club may update policies from time to time. Members are bound by the current version once communicated.

Reinstatement

Reinstatement after suspension is at the club's discretion and may be subject to conditions.

Commitment to Community

Foster community spirit

Participate in club activities and events to foster a sense of community and camaraderie.

Support club initiatives

Support and respect club initiatives aimed at improving the member experience and enhancing club facilities.

Volunteer when possible

Offer to help with events or committees when you can. Volunteer efforts strengthen the club.

Celebrate diversity

Welcome members from all backgrounds. The club thrives when everyone feels included and valued.

Participate in events

Attend club events, sports days, and social gatherings. Your presence builds a vibrant community.

Suggest improvements

Share ideas for new activities or improvements. The management welcomes constructive suggestions.

Sustainability

Support the club's efforts towards sustainability—save water, reduce waste, and follow green guidelines where applicable.

Recognise excellence

Acknowledge and appreciate members or staff who go the extra mile for the club.

Spread positivity

Promote a positive image of the club. Word of mouth from happy members helps PCC grow.
